Our team will take a copy of our app, replace the StaffConnect name and logo with what you provide and publish it on your behalf on the Google Play and Apple App stores. This means that your talent or clients searching for the app will search for whatever you name it - not 'StaffConnect'.
We provide all our clients with a free subdomain of the form AGENCY-NAME.staffconnect-app.com. However if you would like to customise this further we allow you to use a subdomain of your own domain (eg portal.my-agency.com) or you may register a completely new domain to use instead (eg my-custom-portal.com)
The StaffConnect logo will be replaced with your logo throughout the system, but more than that you can also customise the logo, header and footer colours used in emails, as well as customise completely using HTML and CSS the presentation and cards pages which display talent to your clients.
Getting emails delivered to inboxes is tricky when you send hundreds of thousands every day. We manage multiple email servers ourselves, and over the last 10+ years have gone through the hoops with the big email providers to ensure our clients stay off blacklists and that their emails reach their destinations.
Though an old technology, SMS is still a valuable tool should you have talent who do not want to install the app, or have a poor internet connection. We allow you to SMS talent directly from the StaffConnect platform via Vonage, with access to custom templates and having replies going directly back to your phone.
Push notifications are free and provide more functionality than SMS, but require an internet connection. StaffConnect uses push notifications extensively to notify users of new messages, new shift events & more. When someone is sent a push notification - their phone will vibrate and they'll see a pop up notification.
StaffConnect was designed to handle multiple currencies - meaning you can mange talent and shifts worldwide and pay people in their local currencies, all from the one system. We currently have customers in 11 different countries paying their talent in their local currency.
Our Pay Levels feature allows you to define levels of pay rates (eg Beginner $10/hr, Experienced $20/hr) in order to have different users see different pay rates for the same job. Additionally you can define complex rules to multiply pay rates for public holidays, certain times (eg work after 11pm) or days (eg Sundays)
Different countries and states have different withholding and taxation requirements. To cope with these StaffConnect allows the input of custom deduction rules, allowing you to specify percentages to be automatically deducted. For example GST charged if your talent is working as an independent contractor.
XTRM is a payment service allowing global instant payments. Using XTRM, talent can be paid in any currency to an online wallet, which they can then withdraw from whenever they choose to their bank account or to a virtual prepaid debit card.
For US agencies only, there are two types of integrations possible with WorkMarket - the standard Assignment integration and Pay Relay integration. WorkMarket will be the vendor of record, will onboard your talent and pay them as employees, with timesheet information passed from StaffConnect.
Xero is an online accounting system. The integration allows the transfer of invoices and timesheets to Xero which will appear as vendor bills, as well as updating contact information. Xero Payroll integration is also available for Australian clients.
To handle the Australian Fair Work Ombudsman Award rates, we designed a rule based system to handle automatic pay rates. Custom rules can be specified based on day, time of day, worker age, public holiday + more to choose the correct pay rate. For the USA we have predefined overtime rules to comply with the FLSA.
Easily create quizzes and surveys using our drag and drop survey designer. Choose from a variety of answer types including text input, drop down lists, radio buttons, checkboxes and matrix inputs. Add validation rules to ensure valid data and specify correct answers to score questions as right or wrong.
Schedule data is exportable to csv or excel format, and includes all shift information on the system you may need for custom reports or importing into other software. Required columns can be chosen and extra user information like financial information can be attached.
If you're used to working in excel or your client sends you a spreadsheet of events, the fastest way to get the events onto StaffConnect may be to import the spreadsheet. As long as you have at minimum a date, title and role name columns - you can import your spreadsheet to StaffConnect.
Before you select talent for an event, StaffConnect will check their availability for you. The system will check that they are not working any other events with clashing times, and also check the individual's unavailability calendar to ensure they haven't added any events such as university or a holiday that clashes.
Enable the Available Shifts Email feature to have your talent be automatically invited to apply for available jobs. As you publish events on the calendar, StaffConnect collates all available roles and determines which talent meet the requirements. A personalised email is generated and sent to each user, inviting them.
The StaffConnect calendar can be subscribed to by any other calendar program that accepts an ical link, for example Google Calendar or Apple iCloud. For StaffConnect administrators this will show all shifts on the system they ahve access to, while talent will only see the shifts they are selected for.
The calendar gets cluttered when you're a large agency handling thousands of events per month, and that's why we added custom tracking categories. Define your own categories like brand, campaign or job number and filter your calendar and exports by these to simplify your view to only what you need.
StaffConnect evolved over the last 10+ years due to the requests of our customers. Most requests we implemented resulted in settings. Today our settings page contains close to 300 items, allowing you to configure items ranging from the website title in the browser to the colour of the header and footer in emails.
There is an 8 step registration process available on both the web version and apps. Enable this to allow applicants to register onto your StaffConnect system. Customise the process by choosing required profile information, number of photos, videos, documents etc. and have forms or contracts signed digitally.
StaffConnect is hosted by multiple cloud servers, with two main app and database servers located in the USA and Australia. Data is replicated over the two servers for both performance and redundancy, as users are routed to whichever available server they are closest to.
We pride ourselves on being able to handle all the niche requirements of the industry, so when one of our cosmetics customers asked for the ability to handle outsourced talent - we added it. Add multiple outsource companies and use the 'outsourced' user type to manage talent who work for you via a third party agency.
Search your talent database by location name, address, state or zipcode, and sort them by distance to easily identify the closest person to your job. StaffConnect understands search phrases like "90210", "Walmart DC", "1 Hay St, Perth" and uses address information to geolocate your users.
Besides searching by name, email, phone or location StaffConnect allows searching by every custom field you create. Search for a height range, a particular gender, shoe size, distance to location, those who have a driver's licence, those who have the app installed, those who have videos uploaded + more.
Attributes are checkboxes on talent profiles that are used to indicate the presence (or lack) of a skill or qualification, with an optional expiry date. Examples of what our customers use these for include driver's licences, hospitality training, COVID vaccinated. Notifications can be sent upon attribute expiry.
Your talent can upload photos to their profile and events worked, which are automatically resized and oriented. Specify custom tags and approve photos to choose which are displayed to your clients. All media is stored on our CDN for lightning fast access.
Internal notes are available in various parts of StaffConnect. Two of the most used locations are on the user profile - for such things as interview notes, and on events - for such things as booking notes, pay notes etc. Team members can be mentioned in notes to notify them, and background colours set to classify them.

Using the apps, talent can check-in and check-out of events to have their arrival and departure time and location captured. Administrators can view on a map where exactly the talent are, and optionally require a photo uploaded, whether it's a selfie or the event setup.
